If onboarding documents need to be corrected after onboarding has been completed and i9 part 2/e-verify has been certified (due to incorrect info on an i9, w2 form, etc), we can reopen the service associate’s profile to correct the documents.
To Reopen the profile, navigate to the SA’s candidate profile in Bullhorn and select the onboarding tab.
Hover Over “Options” and Selet “View Pre-Hire”
On the pre-hire screen, hover over “options” and select “Re-Open Onboarding”
Select “Yes”
Next, navigate back to the onboarding tab in the SA profile. Hover over ‘options’ again and select the option to reopen the profile.
You will receive the following prompt. Select “Yes.”
Next, navigate back to the onboarding tab in the sa profile. Hover over options and select “edit documents.”
Next, delete the old I-9.
Now, a new I-9 must be inserted. Hover over the “Options” icon and select “Add Document.”
The entire list of documents available in Bullhorn will populate. Select the filter to narrow down the documents. Filter by “Contains” and “I-9”
You should see Form I-9 listed. Select the option to add the document to the SA’s required onboarding documents.
The SA will now need to log back into their application to update their information. Once the profile is updated, they will be prompted to complete the documents containing personally identifying information such as the I9 and tax documents.
Note: The audit trail will appear as if the service associates have deleted their own documents. This is due to the changing of their personally identifiable information in the profile, which is what prompts Bullhorn to reissue these documents.
IMPORTANT: If the service associate was already synced to Prism prior to updating their onboarding, a ticket must be submitted to ensure these changes are also made in Prism. If the SA is already synced to Prism, the changes made in Bullhorn (such as SSN, DOB, address, etc) do NOT transfer to Prism automatically.
